Administrative Assistant - Intermediate

Location: On-Site, Lewisville, TX

Hourly Compensation: $29.00-$31.00 DOE

Work Schedule: M-F, 7:30 a.m.-4:30 p.m.

Provide comprehensive administrative support to departmental leadership and staff, ensuring efficient daily operations and effective communication across the organization.

Responsibilities:

  • Greeting and assist all internal and external customers at front counter.
  • Review, maintain and update Outlook calendars and Smartsheet's for upcoming meetings and guests. Notify host when visitor arrives.
  • Maintain and distribute the daily security list and the weekly IT meeting report.
  • Order and receive catering for meetings as requested.
  • Provide administrative support to departmental personnel, including answering telephones, maintaining schedules, coordinating meetings, preparing expense reports, and managing related tasks.
  • Coordinate, confirm, and track employee travel and lodging arrangements.
  • Schedule, verify, and participate in meetings and appointments, including arranging travel for attendees, preparing conference rooms.
  • Perform general administrative tasks such as copying, typing, sending/receiving emails, sorting and distributing mail, sending certified mail, screening calls, greeting visitors, maintaining filing systems, and processing interoffice and overnight mail.
  • Research and compile reports, proposals, and presentation materials.
  • Answer and screen executive-level calls, assess urgency, set priorities, take accurate messages, and direct inquiries to the appropriate personnel.
  • Plan, coordinate, and participate in meetings and off-site events as directed.
  • Track and maintain PTO records and requests for the company officer.
  • Analyze and route internal and external calls to the appropriate resource.
  • Maintain, scan, and index agreement files and documents within the retrieval system.

Qualifications:
Education & Industry Experience

  • High school diploma required
  • Associate degree preferred
  • 1-3 years of experience supporting a company manager or similar role
  • 1-3 years of experience with phone systems, tracking tasks, interpersonal communication, and initiating new projects
  • 1-3 years of basic accounting or bookkeeping experience
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Smartsheet's: Preferred
  • Ability to type 60 words per minute
  • Strong organizational, communication, and multitasking abilities
