The College of Urban Planning and Public Affairs is currently seeking a Building Operations and Safety Assistant. This in-office, front-facing role represents the Dean's Office and provides direct interaction with university faculty, staff, students, and college guests during standard operating hours. In addition to overseeing the day-to-day administrative responsibilities for the Dean's Office Front Desk, this role will support the college's building operations and safety protocols. The ideal candidate will have a professional background dealing with customer service, problem-solving, and incident resolution, as well as general office administrative tasks.

Duties & Responsibilities:

Building Operations
  • Greets and monitors the flow of university and non-university guests at the College of Urban Planning and Public Affairs' Dean's Office.
  • Oversees main College phone line, including answering and routing calls and distributing messages in a timely and professional manner.
  • Manage front desk operations, including handling, issuing, collecting, and tracking keys; maintains key control logs and accountability.
  • Works with and provides direction to current CUPPA students on building access and guidelines.
  • Responds to inquiries regarding Departmental, College and Campus services, policies and procedures, in person or by phone/email and/or by contacting the appropriate staff. Assists with space reservations and shared calendars as needed.
  • Responsible for reporting both positive and negative customer feedback to Dean's Office management.
  • Serves as a liaison for CUPPA Dean's Office to college staff and outside campus units. Composes routine correspondence and transmits information or documents.
  • Procures signatures on various documents and process according to instructions.
  • Receives and checks packages delivered to the Dean's Office. Distributes accordingly.

Safety
  • Ensures building is secure during established hours.
  • Enforces and addresses violations of building policies, procedures, rules, and/or regulations.
  • Performs visual inspections of public areas to monitor conditions and activities within the building; reports any facility-related concerns for emergency maintenance, routine repair, etc., and oversees their progress
  • Point of contact with UIC's Office of Preparedness and Response regarding building, employee, and guest emergencies.
  • Completes UIC Safety Training annually and ensures that the college is current on all processes.
  • Maintains weekly activity reports; completes incident reports, as necessary; maintains the public areas and work stations are in a neat and orderly fashion; assists in the event of an emergency by notifying the appropriate personnel.
  • Demonstrates strong situational awareness, professionalism, and reliability; maintains consistent front desk coverage during assigned shifts
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

1. High school diploma or equivalent.

2. Any one or combination totaling six (6) months from the categories below:

A. College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
  • 15 semester hours equals six (6) months

B. Work experience performing office/clerical activities, including use of computer systems.
