Surgery scheduling and coordination are critical components of patient care. It is a complex process of coordinating patients' personal schedules and needs, surgeons' schedules, access to hospital facilities and insurance authorizations. Must have strong communication skills to coordinate with clinic, surgeon, OR, ASC and outside personnel to ensure case accuracy from creation to completion. Responsibilities:

  • Build and maintain strong relationships with providers, patients, and internal/external partners.

  • Manage complex provider schedules, including OR, ASC, and clinic calendars, with high accuracy.

  • Schedule a wide range of surgical procedures, including complex and specialty cases.

  • Ensure all prior authorizations, certifications, referrals, and required documentation are completed before procedures.

  • Coordinate all preoperative needs such as labs, diagnostics, consults, and medical clearances.

  • Determine and communicate required personnel and equipment based on surgeon instructions.

  • Maintain daily, weekly, and monthly surgery schedules and coordinate postoperative followups.

  • Communicate effectively with patients through multiple channels, including interpreters when needed.

  • Support clinical leadership with providerrelated issues and serve as a liaison between site staff and the department.

  • Assist with creating and managing provider schedules and Epic templates.

  • Demonstrate CARES behaviors: Collaborate, be Accountable, Respect, Engage, and Serve.

  • Make independent daily decisions and perform additional support tasks such as facilitating meetings, ordering supplies, and coordinating service requests.

Qualifications:

  • High School Diploma/GED Required
  • A minimum of 18 months experience in a clinical setting.
  • Previous one on one experience with surgeon/s required
  • Requires strong organizational skills
  • Must be able to function under pressure while maintaining professionalism
  • Familiarity to CPT and ICD-10 coding
