Job Description:

The Workplace Services / Receptionist supports daily workplace operations for the Livermore site and provides coordination for select needs across other locations. Responsibilities include front desk coverage, employee and contractor badging/access administration, mail and document handling, purchasing and inventory coordination, internal communications (e.g., weekly menu), meeting and executive support, and general workplace services to ensure a smooth and secure on-site experience.

Key Responsibilities:

Front Desk & Customer Service

  • Answer incoming phone calls, route/transfer calls to the appropriate employee or department and provide general reception support.

  • Support a professional, welcoming on-site experience for employees, visitors, and contractors.

Badging & Access Control

  • Create employee badges for new hires on a weekly cadence; create replacement badges as needed.

  • Process badge requests and coordinate fulfillment for other locations as required (e.g., Carlsbad, Boulder, Korea).

  • Grant and maintain badge access for employees in accordance with established access standards.

  • Issue temporary/contractor access badges for service providers performing weekly, bi-weekly, or monthly work on-site.

  • Maintain continuity of badging operations during system outages by coordinating requests through the designated alternate site contact, as applicable.

  • Order badge cards and retractable clips as needed to support on-site operations.

Mail, Shipping & Document Handling

  • Sort and distribute incoming mail, scan, email, or ship documents to the appropriate recipients in a timely manner.

  • Route checks per established internal process.

  • Scan and submit weekly invoices to Accounts Payable.

  • Process tax, census, patent/trademark, legal, payroll, and HR documents by scanning, emailing, and/or shipping to designated stakeholders per process requirements.

Purchasing, Ordering & Inventory

  • Submit purchase requests in Oracle in support of site operations.

  • Order and restock office supplies as needed and maintain supplies across buildings.

  • Place business card orders and coordinate branded apparel orders, including invoice processing/payment as required.

  • Support other departments by sourcing and ordering event giveaways and swag for upcoming events.

  • Track printer toner inventory, place replenishment orders for Livermore and other buildings as needed, and coordinate vendor service calls.

Site Communications & Digital Signage

  • Send the weekly cafe/menu communication to all Livermore employees.

  • Update TV monitors/digital signage on a weekly basis to ensure current, accurate messaging for Livermore and other locations.

Meetings, Events & Executive Support

  • Book guest and executive travel as requested.

  • Set up snacks, water, coffee, and lunch for meetings as requested.

  • Provide logistics support for QBRs and Board meetings.

  • Prepare and submit expense reports for executives and board members as requested.

Preferred Qualifications:

  • Experience in workplace services, facilities coordination, office administration, or reception/front desk support.

  • Ability to handle sensitive information (e.g., HR, legal, payroll documents) with discretion and attention to detail.

  • Strong organizational skills with the ability to manage multiple requests and shifting priorities.

  • Professional communication skills (phone, email, in-person) and a customer-service mindset.

  • Comfort with common workplace systems (email, calendaring, spreadsheets) and willingness to learn procurement/badging tools (e.g., Oracle for purchasing).

Work Environment & Physical Requirements:

Primarily on-site role requiring regular interaction with employees, visitors, and vendors. May involve standing at the front desk for periods of time, moving throughout buildings, and lifting/carrying office or mail/shipping items as needed.

Pay Range:

$22.10 - $29.03

Pay Range Explained:

This role in Livermore, California pays between $22.10 and $29.03 per hour, depending on your experience, skills, and background. Pay may vary in other locations. We offer a full benefits package, including medical, dental, vision, life insurance, disability coverage, a 401(k) with company match, employee stock purchase plan (ESPP), and paid time off. You'll also be eligible for quarterly profit-sharing bonuses and flexible spending or savings accounts.
