Clark College is currently accepting applications for a full-time, 12-month, exempt Executive Assistant to the Vice President of People and Culture in the Office of People and Culture (OPC). We are seeking a highly driven, service-oriented, organized, proactive, and culturally responsive Executive Assistant to provide comprehensive and detail-oriented administrative and operational support to the Vice President of People and Culture. This position may also provide support to the Associate Vice President of People and Culture. This position is expected to be in-office at Clark College's main campus with regular business hours Monday through Friday. This role is within the Office of People and Culture, which is at the intersection of Human Resources and Diversity, Equity, and Inclusion, requiring a professional who can manage complex priorities, maintain strict confidentiality, and contribute to a workplace culture rooted in equity, inclusion, and service excellence. The Executive Assistant serves as a central point of coordination for OPC initiatives, ensuring seamless operations across HR functions and DEI strategies that support employees, leadership, and the broader community. Position Responsibilities

JOB DUTIES AND RESPONSIBILITIES:
- Provide high-level administrative, coordination, scheduling, and communications support to the Vice President of People and Culture.
- Manage a wide range of correspondence, reports, presentations, and communications on behalf of the Vice President and department.
- Provide support for equity-centered initiatives, special programs and projects.
- Provide proactive and accurate complete expense reports.
- Coordinate and arrange detailed and accurate travel logistics including travel requests, authorizations, and reimbursements.
- Serve as a liaison between the Vice President, internal community (faculty, staff, leadership), and external partners, maintaining professionalism and cultural awareness in all interactions.
- Provide and/or direct support activities such as answering phone calls,assisting and resolving problems and inquiries, reviewing and screening incoming and outgoing correspondence and/or visitors.
- Coordinate proper retention, archival, and purging of personnel records in accordance with established records management policies and legal requirements.
- Facilitate timely requisitions, budget tracking, and reimbursement requests.
- Responsible for the overall budget management of the department including preparing and monitoring budget data and projections.
- Accurately submit and process requisitions, invoices, purchase requests; prepare and submit contracts; manage, prepare and process purchasing in a timely manner.
- Maintain discretion and professionalism when handling sensitive and confidential information.
- Support internal and external communications that advance departmental priorities.
- Maintain meeting agendas, minutes, and organizational development.
- Assist in planning and executing department-wide projects, events, and engagement activities.
- Serve as a key coordination point within OPC.
- Monitor and support compliance with institutional policies, state and federal regulations, and best practices.
- Promote consistent, equitable application of policies through effective communication and administrative processes.
- Model inclusive behaviorand show commitment to equity, diversity and inclusion.
- Provide administrative support for employee lifecycle processes, including milestone recognition and offboarding activities.
- Ensure events reflect OPC values of inclusion, accessibility, and community.
- Perform other related duties as assigned.

Qualifications

POSITION REQUIREMENTS AND COMPETENCIES: Candidates will be evaluated based on application materials, including the supplemental questions and personal interview(s), and will be required to demonstrate competencies in the following areas:
- A bachelor's degree AND three (3) years of experience providing administrative support.
- Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
- Experience utilizing Microsoft products: MS Word, Excel, PowerPoint, OneDrive, and Outlook.
- Excellent written and oral communications skills including professional writing, editing, note-taking, and proofreading skills.

SALARY/BENEFITS:
Salary Range: $67,908 - $78,631 annually (commensurate with qualifications and experience). Successful candidates are typically hired at the beginning of the salary range and receive scheduled salary increment increases. Clark College offers an exceptional benefits package that includes vacation/sick leave; medical, dental, life and long-term disability insurance; retirement; and tuition waiver.
