Scheduling & Client Support Coordinator (Entry-Level) *Location:* Onsite Mon-Fri 8:30am-5pm
*Experience Level:* Entry Level Are you highly organized, customer-focused, and looking to grow your career in a professional healthcare or medical services environment? We're looking for a *Scheduling & Client Support Coordinator* to support exam coordination, client communication, and administrative operations. This is a great opportunity for someone with strong customer service skills who enjoys multitasking and working in a fast-paced setting. What You'll Do * Schedule and coordinate medical examinations using internal systems * Communicate with physicians' offices to confirm appointment dates and times * Serve as a point of contact for clients regarding: * Appointment scheduling and changes * Physician credentials (CVs) * No-shows, cancellations, and reschedules * Receipt of medical records and images * Confirm receipt of records for review referrals * Prepare and send daily exam notification letters * Respond to inquiries regarding report status and general information * Coordinate ancillary services such as interpreters, chaperones, transportation, or exam site rentals when needed * Arrange lodging and/or transportation for out-of-town examinees * Submit invoices or billing issues to Accounting and ensure required pre-payments are received * Provide administrative and operational support to other offices as needed * Process mail, deliveries, and shipments * Participate in training and educational activities as required What We're Looking For *Required Qualifications* * High school diploma or equivalent * At least *1 year of customer service experience* (retail, call center, or similar) * Strong computer skills with proficiency in: * Microsoft Office * Excel * Data entry * Excellent verbal and written communication skills *Preferred / Nice to Have* * Experience working in a medical office or healthcare-related environment * Ability to manage multiple phone lines in a high-volume setting * Typing speed of *35 WPM or higher* * Strong attention to detail with a focus on accuracy and quality * Ability to work independently, prioritize tasks, and manage time effectively * Comfortable working under pressure and handling competing priorities * Commitment to maintaining confidentiality * Positive, team-oriented mindset * Adaptability to change, delays, or unexpected situations Why This Role? * Entry-level opportunity with hands-on experience in healthcare operations * Professional office environment with steady, meaningful work * Build transferable skills in scheduling, coordination, and client communication * Supportive team culture with training and development opportunities *Job Type & Location* This is a Contract to Hire position based out of Rockford, IL. *Pay and Benefits*The pay range for this position is $17.25 - $17.25/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
