This is a/an 75 % full-time equivalency (FTE) job. This position will work 30 hours per week. This position is eligible for benefits associated with any full-time position. The salary grade and range listed in the posting is reflective of a 100% Full-time position. Full-time equivalency job offers may fall outside of the listed range due to the assigned percentage of effort.

POSITION SPECIFICS

The Administrative Assistant provides comprehensive administrative support to the Director of the School of Science, Engineering, and Technology (SSET) to ensure efficient office operations. This position has primary responsibility for coordinating and tracking the faculty Promotion and Tenure (P&T) process and supporting faculty review procedures. The role requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a deadline-driven environment.

Key Responsibilities

Promotion & Tenure (Primary Focus)

  • Initiate, coordinate, and track faculty Promotion & Tenure (P&T) dossiers..
  • Review and organize dossier documentation for completeness and compliance.
  • Create and maintain official P&T files.
  • Coordinate with the Director, SSET; Faculty; Committee Chairs; and the Vice Chancellor's Office throughout the review process.
  • Submit finalized dossiers in support of faculty review.

Faculty Review Support

  • Coordinate and prepare documentation for annual faculty reviews.
  • Communicate required materials and submissions to the Chancellor's Office.

Administrative & Office Support

  • Compose, review, edit, and distribute internal and external communications.
  • Maintain calendars; schedule meetings, appointments, and events.
  • Review, edit, and format reports, presentations, and correspondence.
  • Compile and maintain records to support departmental and institutional reporting.
  • Initiate travel arrangements, financial transactions, reimbursements, and budget revisions in compliance with university policies.
  • Respond to inquiries while ensuring adherence to unit and university policies and procedures.
  • Assist other SSET staff and perform additional duties as assigned.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
