This position is located in Bloomington, IN The Storeroom Coordinator & CMMS Admin is a dual-function role responsible for managing the day-to-day operations of the MRO storeroom while supporting defined CMMS administrative responsibilities within a regulated life sciences manufacturing environment. This role ensures spare parts, tools, consumables, equipment, and related materials are properly received, stocked, issued, organized, kitted, counted, cleaned, and accurately reflected in applicable systems. This position provides hands-on operational support by helping Maintenance and Engineering look up spare parts, receiving stock into both JDE and Maximo daily, performing routine and as-needed cycle counts, reorganizing inventory for better space utilization, pulling and kitting parts for CM and PM work, and maintaining clean, safe, inspection-ready storeroom conditions. The CMMS Admin portion of this role is specifically focused on approving Corrective Maintenance (CM) work orders and assisting CMMS counterparts with work order approval and routing needs to support site operations. This role does not manage Assets, PMs, CALs, or Job Plans as part of its standard scope, although the individual may have the opportunity to learn these areas with proper training, business need, and leadership direction. The role requires strong attention to detail, documentation discipline, adherence to SOPs and training requirements, practical inventory ownership, and the ability to support client needs surrounding Maximo, JDE, and daily storeroom activity in a GMP or otherwise regulated life sciences environment.
What is your day-to-day?
1. Daily Storeroom Operations and Facility Support
- Manage daily storeroom activity including receiving, inspecting, labeling, stocking, issuing, returning, organizing, and maintaining MRO spare parts, tools, consumables, equipment, and related materials.
- Assist Maintenance, Engineering, Reliability, and facility operations personnel with looking up spare parts, locating materials, confirming availability, and identifying correct parts using CMMS records, vendor information, equipment manuals, drawings, and prior work history.
- Receive stock into both JDE and Maximo daily, ensuring receipts are completed accurately, timely, and in alignment with site procedures and documentation expectations.
- Pull, stage, and kit spare parts for corrective maintenance, preventive maintenance, shutdown work, project work, emergency response, and other maintenance activities as needed.
- Support urgent maintenance needs by quickly locating parts, checking inventory status, communicating availability, and escalating stock-out or search issues when needed.
- Assess returned tools, parts, and equipment for condition, damage, missing components, cleaning needs, repair needs, or calibration follow-up as applicable.
2. Inventory Control, Cycle Counting, and Accuracy
- Perform routine cycle counts, as-needed counts, inventory checks, bin audits, and variance investigations to support accurate on-hand balances and reliable part availability.
- Investigate and help resolve inventory discrepancies involving receipts, issues, returns, transfers, duplicate records, incorrect locations, missing materials, and transaction errors.
- Verify physical inventory against CMMS and ERP records, including quantity, location, item number, description, unit of measure, manufacturer information, and stock status.
- Support reconciliation activities with Maintenance, Procurement, Finance, Quality, and storeroom leadership when inventory, receiving, or documentation issues are identified.
- Monitor low-stock, stock-out, overstock, obsolete, inactive, damaged, unidentified, or misplaced materials and escalate concerns through the appropriate process.
- Support MIN/MAX, reorder point, and stocking discussions by providing practical observations from cycle counts, usage history, transaction history, and storeroom activity.
3. Storeroom Organization, Space Utilization, and Housekeeping
- Reset, reorganize, and relocate inventory as needed to improve space utilization, storage flow, searchability, safety, and daily storeroom efficiency.
- Group like items, commodities, parts families, or equipment-specific materials together where practical to make spare parts easier for storeroom personnel, Maintenance, and Engineering to find.
- Maintain accurate bin locations, shelf labels, storage areas, kitting spaces, staging areas, receiving areas, and aisles so materials are easy to locate and properly controlled.
- Keep trash cleaned up and maintain clean storeroom floors, aisles, shelves, benches, receiving spaces, kitting areas, and staging locations.
- Perform routine housekeeping activities including sweeping, dusting, mopping, wiping down work surfaces, removing clutter, and keeping the storeroom safe and inspection-ready.
- Identify opportunities to improve 5S, reduce search time, improve labeling, eliminate clutter, and better use available storeroom space.
4. CMMS Admin, Work Order Approval, and Routing Support
- Approve Corrective Maintenance (CM) work orders in Maximo within the defined scope of this role and in accordance with applicable SOPs, training, approval criteria, and site expectations.
- Review CM work order information for completeness, accuracy, proper routing, appropriate required fields, and alignment with established work order approval processes before approval or escalation.
- Assist CMMS Admin counterparts with approving, routing, or redirecting work orders as needed to help facilitate site needs and support maintenance execution.
- Coordinate with Maintenance, Engineering, Reliability, Quality, and other site stakeholders when CM work orders require clarification, correction, escalation, or additional information prior to approval.
- Maintain high attention to detail when working in Maximo, recognizing that work order approvals, routing decisions, and documentation accuracy can directly affect client needs, compliance expectations, and maintenance readiness.
- Adhere to all applicable SOPs, work instructions, training requirements, data integrity expectations, and good documentation practices when performing CMMS-related work.
- Recognize that this role does not own or manage Assets, Preventive Maintenance (PM) records, Calibration (CAL) records, or Job Plans as part of its standard responsibility scope.
- May have the opportunity to learn Assets, PMs, CALs, Job Plans, or other CMMS functions through proper training, business need, and leadership direction, but those areas are not primary responsibilities of this position.
5. CMMS, ERP, and Inventory Records Support
- Complete accurate transactions in Maximo, JDE, and other site-specific systems for receiving, issuing, returning, transferring, adjusting, counting, staging, and kitting materials.
- Maintain accurate inventory records, including bin locations, item descriptions, units of measure, manufacturer part numbers, vendor information, stock status, and asset references as assigned.
- Support RARD or similar workflows for adding, revising, deleting, or improving spare parts and inventory master data when assigned and within role scope.
- Identify and escalate duplicate items, incomplete descriptions, incorrect manufacturer data, missing vendor information, inaccurate stock status, and other data quality concerns.
- Maintain records in alignment with good documentation practices, data integrity expectations, and applicable life sciences site procedures.
- Use Maximo, Blue Mountain RAM, JDE, SAP, or other site-specific CMMS and ERP tools as applicable to support storeroom operations, inventory control, and defined CMMS administrative tasks.
6. Maintenance Support, Kitting, and Parts Coordination
- Support planned and unplanned maintenance execution by pulling, staging, and kitting required parts for PMs, CMs, shutdown work, project work, equipment repairs, and emergency response.
- Communicate part availability, expected arrival dates, kitting status, material constraints, and inventory concerns to Maintenance, Engineering, Reliability, and leadership as needed.
- Research historical work orders, inventory transactions, purchase history, manuals, drawings, and vendor documentation to help identify correct spare parts.
- Assist with spare parts tied to assets, job plans, PMs, corrective work, reliability improvements, and equipment support needs.
- Escalate issues that may affect equipment uptime, maintenance execution, compliance readiness, or customer support.
7. Procurement, Vendor, Receiving, and Reporting Support
- Support Just-in-Time parts coordination, stock-out mitigation, quote requests, lead-time checks, vendor follow-up, and approved supplier communication as assigned.
- Partner with Procurement and Finance to help resolve PO, receiving, invoice, vendor account, and documentation discrepancies related to storeroom materials.
- Support vendor-managed inventory, parts management agreements, repair programs, return authorizations, and approved supplier programs as needed.
- Publish and maintain practical reports, trackers, and logs related to receiving, part status, estimated arrival dates, kitting activity, open issues, cycle counts, work order routing support, and inventory exceptions.
- Use Microsoft Excel and related tools to summarize inventory activity, usage history, cycle count results, open follow-up items, and daily storeroom priorities.
- Perform other duties and tasks as assigned in support of site operations, maintenance readiness, and business needs.
Desired experience and technical skills
Required
- High school diploma or GED required; trade schooling, technical training, or 2+ years of similar working experience in storeroom operations, inventory control, maintenance support, logistics, or supply chain preferred.
- Minimum of (1) year of experience working in a GMP, GxP, life sciences, pharmaceutical, biotech, medical device, food manufacturing, or other regulated manufacturing environment.
- Experience receiving, issuing, storing, tracking, counting, kitting, organizing, or reconciling MRO parts, tools, equipment, consumables, or inventory materials.
- Working knowledge of CMMS and/or ERP systems used for receiving, inventory transactions, issuing, purchasing, maintenance, or asset data. Experience with Maximo and JDE is strongly preferred.
- Ability to follow SOPs, work instructions, training requirements, approval processes, and documentation expectations in a regulated life sciences environment.
- Strong attention to detail and ability to accurately review, approve, route, or escalate CM work orders within defined role scope.
- Ability to track CMMS work performed, report activity back to Senior CMMS Admins, and escalate questions before taking action when compliance, training, authorization, or role scope is unclear.
- Proficiency with Microsoft Office tools, especially Excel, Outlook, Teams, and Word. Ability to work with spreadsheets, filters, lookups, and basic reporting tools.
- Ability to research parts using manufacturer part numbers, equipment manuals, drawings, vendor documentation, historical work orders, and inventory transaction records.
- Strong verbal and written communication skills with the ability to support Maintenance, Engineering, Reliability, Procurement, Finance, Quality, vendors, and leadership.
- Strong documentation discipline, housekeeping standards, and ability to maintain accurate records in a regulated environment.
- Ability to stand, walk, bend, reach, lift, move materials, and perform hands-on storeroom housekeeping activities such as cleaning, dusting, sweeping, and mopping in accordance with site expectations.
- Self-motivated with the ability to work independently, support daily priorities, and follow through on multiple requests in a fast-paced operational environment.
Preferred
- Associate degree in Industrial Technology, Engineering Technology, Supply Chain, Business Administration, or a related field.
- Minimum of (3) years of experience working in a GMP, GxP, life sciences, pharmaceutical, biotech, medical device, food manufacturing, or other regulated manufacturing environment.
- Hands-on experience with IBM Maximo, JDE, SAP, Blue Mountain RAM, or similar ERP/CMMS platforms.
- Experience approving, routing, reviewing, or supporting Corrective Maintenance (CM) work orders in a CMMS.
- Experience with inventory receiving, daily system transactions, cycle counting, CM/PM kitting, storeroom organization, 5S, stock-out follow-up, and material staging for maintenance work.
- Intermediate Excel skills, including formulas, filters, pivot tables, lookups, basic dashboards, or data cleanup.
- Knowledge of MRO parts, including mechanical, electrical, instrumentation, controls, valves, seals, bearings, motors, sensors, fittings, filters, and automation components.
- Experience supporting vendor-managed inventory, parts management agreements, repair programs, invoice discrepancy resolution, or supplier follow-up.
- Basic SQL, Power BI, Power Query, or other data analysis experience used to improve inventory visibility, CMMS accuracy, or maintenance reporting.
