Position Summary

POSITION SUMMARY:

Responsible for organizing and coordinating all office operations and procedures in order to ensure organizational effectiveness and efficiency. Including, but not limited to, management of switchboard, cafeteria vending service, cleaning service, telecommunications and office layout and design.

Responsibilities

DUTIES AND RESPONSIBILITIES:

  • Manages facility vehicles.
  • Makes design of office space, ensuring maximized effectiveness and ROI. Manages relationships with vendors to procure various changes and moves.
  • Makes travel arrangements, prepares itineraries, and serves as a liaison between EMAM and various travel agencies and car rental companies.
  • Serves as administrator for the Parker Foundation.
  • Organizes presentations and meetings including, but not limited to:, Extended Leadership Team, Monthly Financial Review, Kaizen Events, Parker corporate visits.
  • Preparation of the daily newsletter - Happenings.
  • Manages relationship with various vendors to ensure best use of resources and expenses.
  • Event coordination of employee's annual Christmas dinner, cookouts, incentive dinners, skip level meetings, quarterly townhall and other activities managed to maximize employee engagement.
  • Participate as a leading member of the Wellness Committee and identify opportunities to promote Wellness with employees and the community.
  • Administrative support of Hastings Filters.
  • Operates general office equipment including a personal computer and performs various secretarial functions.
  • Training of new employees on office procedures and best practices.
  • Assists other departments as needed.
  • Oversees record retention duties in conjunction with Finance.
  • In conjunction with IT oversees the phone system.
  • Position requires good communication skills and the ability to manage multiple projects simultaneously.
  • Coordinates office furniture requests.
  • Business continuity planning and leadership.
  • Tornado Shelter Manager- South Auditorium.
  • Is responsible for quality and safety of own work and compliance of all company procedures and policies.

Qualifications

POSITION REQUIREMENTS:

Required: Bachelor's degree with experience in an executive support position and supervisory experience, or an equivalent combination of education and experience.

Preferred: Bachelor's degree in business administration and five years experience in an executive secretarial position and supervisor experience.
