Play an integral role in ensuring the accurate management, control, and distribution of project documentation that supports the successful delivery of complex construction and field services projects. As a Senior Document Controller - Field Services, you will serve as the primary document management resource for project teams, ensuring critical information is properly controlled, tracked, distributed, and maintained throughout the project lifecycle.

This is a highly visible position that sits at the intersection of engineering, construction, project controls, quality, and customer organizations. Your ability to maintain document integrity, manage project data, support compliance requirements, and serve as a trusted liaison between project teams and customers will directly contribute to project execution, communication efficiency, regulatory compliance, and customer satisfaction.
Working within a dynamic field services environment, you will play a critical role in ensuring that project teams have access to accurate, current, and properly controlled documentation while supporting operational excellence and successful project delivery.

Purpose of the role
The Senior Document Controller - Field Services serves as the lead document control professional on assigned projects and acts as the primary interface between project personnel, customers, suppliers, and stakeholders for all document management activities. You will be responsible for ensuring all project documentation is accurately logged, controlled, distributed, archived, and maintained within the Electronic Document Management System (EDMS).

You will establish and maintain accurate project databases that capture every revision of project documents, drawings, specifications, vendor data, quality records, and other controlled information throughout the life of the project. Through strong organizational skills, attention to detail, and technical expertise, you will help ensure project teams maintain compliance with customer requirements, company procedures, and document management standards.

As a senior-level specialist, you may also provide guidance, training, and support to less experienced document control personnel while contributing to the development and improvement of document control systems, processes, and best practices.

You will be responsible for:

  • Serving as the lead document control resource for assigned projects and field services operations.
  • Acting as the primary interface between project personnel, customer representatives, suppliers, and stakeholders for document control matters.
  • Administering project documentation within the Electronic Document Management System (EDMS).
  • Ensuring all project documents, drawings, specifications, procedures, vendor data, and records are accurately logged, tracked, and maintained.
  • Controlling document revisions and ensuring current revisions are distributed to appropriate project stakeholders.
  • Maintaining document databases that capture complete revision histories and required metadata throughout the project lifecycle.
  • Managing the receipt, review, processing, distribution, transmittal, and archival of project documentation.
  • Coordinating document workflows between engineering, procurement, construction, quality, suppliers, and customers.
  • Verifying documentation is issued, received, and recorded in accordance with project requirements and established procedures.
  • Generating and maintaining document registers, status reports, transmittals, and tracking logs.
  • Monitoring document progress and identifying issues that may impact project execution or information flow.
  • Supporting project turnover and closeout activities through the compilation and verification of final project documentation packages.
  • Assisting project teams in meeting document control requirements associated with contractual obligations and customer expectations.
  • Conducting document audits and quality checks to ensure database integrity, accuracy, and compliance.
  • Troubleshooting document control system issues and supporting continuous improvement initiatives.
  • Providing guidance, training, and support to project personnel regarding document control processes, procedures, and systems.
  • Supporting the development and implementation of enhanced document control workflows, systems, and processes.
  • Maintaining confidentiality and security of project information and controlled documentation.

What you'll bring to the role

  • Technical school diploma or an equivalent combination of education, training, and relevant experience.
  • Experience in document control, records management, project administration, engineering support, or related project services functions.
  • Experience supporting engineering, procurement, construction (EPC), field services, industrial, manufacturing, energy, chemicals, resources, or infrastructure projects.
  • Advanced understanding of Electronic Document Management Systems (EDMS) and document control best practices.
  • Demonstrated experience managing large volumes of technical documentation, drawings, vendor data, and project records.
  • Strong knowledge of document numbering systems, revision control processes, transmittals, and records management methodologies.
  • Experience supporting project turnover, closeout, and final documentation requirements.
  • Strong organizational and planning skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent attention to detail with a commitment to maintaining document accuracy and data integrity.
  • Ability to independently resolve document control challenges and recommend process improvements.
  • Experience training or providing guidance to project teams and less experienced document control personnel.
  • Proficiency with Microsoft Office applications including Word, Excel, Outlook, PowerPoint, and Teams.
  • Strong communication and stakeholder engagement skills with the ability to collaborate effectively across multiple disciplines and organizations.
  • Ability to prepare reports, presentations, document status summaries, and project documentation metrics.
  • Demonstrated problem-solving skills and the ability to work effectively in a fast-paced project environment.
