Position Summary
The UNM College of Pharmacy is seeking to fill a Facilities Services Manager who coordinates maintenance, operation, and utilization of the spaces assigned to the College of Pharmacy. The College of Pharmacy serves over 250 students with more than 180 employees. This position will require excellent project management and communication skills as frequent communication is required between employees, stakeholders, internal service providers, vendors and contractors. The successful candidate will be expected to manage multiple priorities in a complex academic and research environment while supporting safe, compliant, and efficient facility operations that advance the College's educational, research, clinical, and administrative activities.
Duties and Responsibilities
- Serving as the College's primary liaison with UNM Facilities Services, Capital Projects, Environmental Health and Safety, IT, Security, and other service departments.
- Ensures operational efficiency, consistency, quality, safety and compliance in addressing the facility and safety needs of the College of Pharmacy.
- Submits ticket requests and coordinates building-system interruptions and planned shutdowns affecting power, HVAC, plumbing, research laboratories, or other critical operations to the facility.
- Provides frequent and consistent communication on the status of projects and service tickets, provides timely reports to leadership and stakeholders, as needed.
- Monitors for compliance with university policies, regulatory requirements, and applicable local, state, and federal laws for all facilities performed in assigned spaces.
- Oversees various security measures in assigned spaces, which may include coordinating first responder calls and providing documentation of security incidents. Assists with access by submitting key requests and badge access requests.
- Works with vendors and College purchasing for requests for external quotes for maintenance, construction, custodial, and related services; monitoring contractor performance, verifying compliance with contractual requirements, controlling costs, and conducting quality assurance reviews.
- Collaborate with leadership on facility utilization, space planning, and resource management to support institutional priorities.
- Maintains occupancy records and assists with room assignment requests, room changes, access requests, and may coordinate space allocation activities with UNM Space Planning and maintain or update College information in the University's space management system.
- Holds a valid, active driver's license and can complete UNM's defensive driving course. Maintains fleet vehicles to be ready at all times, coordinates vehicle parking and communication, monitors service schedules and facilitates service, etc.
- Monitor facility conditions through routine inspections to verify status of occupancy and safety.
- Establish and maintain operational records, maintenance documentation, reports, and other systems for audit and internal controls, including building records and documentation associated with renovations, new construction, and other facility improvements.
- Develop, maintain, and periodically update emergency preparedness, business continuity, and disaster recovery plans.
- Provide timely reports and updates to leadership and stakeholders.
- Promote a culture of workplace safety by ensuring proper use, maintenance, and stewardship of equipment, tools, and supplies while encouraging environmentally responsible practices.
- Perform additional responsibilities and special projects as assigned and may respond to urgent facility issues outside regular business hours and coordinate appropriate follow-up with internal service providers, emergency personnel, vendors, and College leadership.

- Possession of a valid New Mexico driver's license is a requirement for this job.

Minimum Qualifications
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
Preferred Qualifications
- Experience managing daily facility operations, including coordinating maintenance and service requests, monitoring facility conditions, prioritizing operational needs, and communicating with building occupants and service providers.
- Experience with project management, including planning, coordinating, tracking, and completing facility-related projects involving multiple stakeholders.
- Experience supporting research laboratory operations, including coordination of specialized facility requirements, maintenance activities, safety considerations, and regulatory compliance.
- Experience managing capital improvements, renovations, and/or maintenance projects
- Experience with regulatory requirements for planning, design, licensing, and performance of contract work.
- Experience administering service contracts: developing scopes of work, submitting approvals from central administrative offices, negotiating vendor pricing, assessing quality assurance, and evaluating contractor performance.
- Holds active certifications for any safety and facilities related standards which may include but are not limited to: OSHA, NFPA, ADA, etc.
- Experience developing emergency preparedness, business continuity, and disaster recovery plans.
- Experience with providing formal communication that may include professional proposal, report, etc.
- Experience interpreting construction drawings, facility plans, technical specifications, or other project documentation.
- Experience using computerized maintenance management, work-order tracking, space management, or similar facilities information systems.
