Job Description

The department of Student Affairs at the UMKC School of Medicine is seeking an experienced Office Support Assistant IV to assist with a variety of duties, including those related to the elective program, event and ceremony support, and general tasks related to office and student support. This position will interface with members of the School of Medicine and affiliate hospitals (University Health, Children's Mercy Hospital, St. Luke's Hospital, KCVA, Mosaic Life Care) and will be responsible for detailed clerical and administrative tasks requiring a high degree of organization, accuracy, and attention to detail while managing multiple priorities in a fast-paced academic environment.

This position is fully on-site and requires attendance at the designated work location five days per week.

DUTIES AND RESPONSIBILITIES

  • Under the supervision of the Elective Coordinator, provide administrative support for the School of Medicine elective program (40%)
  • Under supervision of the Assistant Dean of Student Engagement, Assist with School of Medicine events and ceremonies on the Kansas City and St. Joseph campuses to include:
    • White Coat Ceremony
    • Match Day
    • Hooding Ceremony
    • Class meetings and orientations
    • Career Services events
  • Assists with the scheduling and placement of approximately 150 medical students during each four-week elective block across 13 scheduling cycles annually, including home and visiting students
  • Communicates with affiliate hospitals, clinical departments, elective coordinators, and student advisors regarding student placements and requirements for both home and visiting students
  • Maintains spreadsheets, databases, and other tracking systems related to scheduling, student assignments, evaluations, and visiting student participation
  • Enters, verifies, and audits data to ensure records are accurate, complete, and up to date
  • Assists with administrative processes for visiting student rotations, including processing documentation, maintaining records, and responding to routine inquiries
  • Monitors deadlines and tracks required materials to support timely placements
  • Prepares reports, correspondence, and scheduling materials for elective administrators, faculty, and staff in accordance with established practices and FERPA guidelines

Duties will center around event space coordination/reservation, faculty and student invitations, event script preparation, catering arrangements, cap and gown management

Support for other office or academic needs:

  • Provide proctoring assistance
  • Assist with student communication as needed
  • Other areas of support as needed or assigned
Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

  • Bachelor's degree or Master's degree
  • Proficiency with MSWord, Excel, PowerPoint
  • Five years of experience supporting staff and faculty in education or a related field
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $16.00 - $19.00 per hour.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
