JOB SUMMARY

The Project Contract Administrator is responsible for reviewing, processing, tracking, and maintaining customer contracts, subcontracts, and related contractual documentation. This role supports contract compliance requirements, ensures accurate documentation throughout the project lifecycle, and assists project teams with contract administration and contractual documentation needs.


MINIMUM QUALIFICATIONS


  • A working knowledge of construction contracts, contract management software and construction accounting at a level normally acquired through completion of an associate's degree in business administration or related field; and
  • 3-5 years' experience in providing administrative support.

  • Must have the ability to manage multiple priorities and meet deadlines.
  • Requires strong organizational skills, continual attention to detail in generating, entering, and proofing transactions, as well as the ability to prioritize and complete multiple projects in a timely manner.
  • Must possess a high level of interpersonal skills to handle sensitive confidential situations.
  • Requires advanced skills and knowledge of construction accounting software.
  • Must operate with integrity and maintain highly confidential and sensitive information.
  • Must have experience in windows office software; to include but limited to word, excel and power point.


JOB RESPONSIBILITIES


  • Provide customer service to internal and external customers
  • Working knowledge of contract terminology and documentation standards
  • Ability to work independently while collaborating effectively across departments
  • Create, maintain and update tracking logs
  • Organize and maintain contract files and correspondence, assist with Audit compliance
  • Prepare, issue, review standard contract and subcontract templates and supporting documentation
  • Track contract and subcontract status from receipt through execution and ensure proper routing for internal review and signatures
  • Review contract requirements related to insurance, bonds, prevailing wage, certified payroll, lien waivers, safety, sub-tier flow down provisions, licensing, and coordinate collection and submission of owner-related documentation related to contract execution
  • Review customer billing requirements and communicate project specific invoice requirements with the Project Team
  • Support project teams during contract startup and closeout, including collection of release forms and completion notices
  • Manage internal COI requests along with review of vendor/sub-tier COIs to ensure proper coverage
  • Process preliminary lien notices in accordance with state-specific requirements
  • Assist with contractor enrollment in OCIP, CCIP, DCIP, PLP programs
  • Provide guidance on customer-specific requirements and administrative procedures
  • Perform other tasks and special projects as assigned
