About the Job

The University of Minnesota School of Nursing maintains programming, personnel, and physical facilities in Rochester, in partnership with the University of Minnesota Rochester (UMR) campus. This University of Minnesota School of Nursing Rochester campus position provides administrative and academic coordinating functions and support to administration, faculty, adjunct/associate faculty, staff, and students located at the School of Nursing (SoN) Rochester campus. They also coordinate activities and maintain positive professional working relationships with UMR administration, staff, and faculty, and may support other UMN Twin Cities programs as contracted by the SON. The role requires a positive 'can do' attitude, the ability to solve complex problems in coordination with the Twin Cities campus, and excellent community building skills.

Report Structure

The SoN Rochester Administrative Associate reports to the Dean and immediate daily work direction is provided by the Administrative Director and Associate Dean for Academic Programs. The role may supervise student employees located on the Rochester campus.

PRIMARY DUTIES AND RESPONSIBILITIES*

Provide Administrative Support for the School of Nursing (50%)

  • Primary point of contact for all operations impacting all SoN faculty, staff, and SoN adjunct/affiliate faculty serving at the University of Minnesota School of Nursing on the Rochester campus
  • Supervise the Executive Office and Administrative Specialist
  • Lead operational workflow and planning related to the functions and activities occurring onsite at UMR for the school of nursing
  • Engage in collaborative continuous quality/process improvement in all aspects of operations on Rochester campus, in partnership with the Twin Cities campus staff and faculty.
  • Conducts analysis and makes recommendations to improve inefficiencies and effectiveness of operations to align with SON goals.
  • Ensure submission and signing of bi-weekly time sheets in compliance with SoN/UMN policies.
  • Organize visits and hospitality for guest lecturers and other visitors
  • In collaboration with SoN and UMR facilities management, plan and maintain functionality and updating of rooms, passwords, and equipment for the SoN office at UMR and UMR classrooms used by the SoN.
  • Proactively manage and maintain a respectful environment and relationships, and professional office environment on Rochester campus.
  • In collaboration with SoN and UMR facilities management, manage SoN lab and office security at UMR and coordinate key control with UMR staff.
  • Serve as a liaison to the UMR technology staff to address technology issues that may arise during SoN scheduled classes.
  • Serve as liaison to the SoN facilities staff to address faculty and staff technology needs and issues, equipment, office furniture, etc.
  • Supports new initiatives for UMR/SoN by providing administrative support as needed

Provide Administrative Support for the Center for Flourishing Health Care Communities (20%)

  • Oversees operational planning and execution of activities related to the Center for Flourishing Health Care Communities
  • Develops a communications plan to engage internal and external participants
  • Organize visits and hospitality for guest lecturers and other visitors

Nursing Skills Lab in Rochester (15%)

  • Serve as point of physical contact for Skills Lab operations under the direction of the Lab Manager and Clinical Lab Lead
  • Monitor use and consistency of equipment, resources, and supplies in the Rochester labs for NUR 3703, NUR 3705, Refresher Labs, VR sessions, and other pre-licensure lab sessions
  • Manage lab use and calendar, coordinating SoN educational/programmatic needs with requests for use by other programs or activities
  • Advise Associate Dean of Academic Programs on operations of the clinical simulation lab
  • Monitors clinical simulation lab policies, procedures, use, and operation
  • Communicates needs and requirements of lab inventory to Clinical Lab lead
  • Answers questions from students instructors related to campus procedures, location and use of materials, and operation of equipment
  • Ensures a safe and healthy work environment, complies with health and safety policies, practices, and programs
  • Monitor SoN educational/programmatic needs with requests for use by other programs or activities

Financial Duties (10%)

  • Manage expenditures related to SoN functions and activities occurring at UMR in consultation with SoN Business office and Chief Administrative Officer
  • Obtain authorization for purchases in accordance with SoN/UMN policy and delegated authority, accounting for costs and quality, and analysis of current/projected needs

Other Duties as Assigned (5%)

  • Manage time to accommodate other duties as requested/required in the role for the SoN
  • Manage time contracted with the University of Minnesota Occupational Therapy Program

    Qualifications

    Required Qualifications
    * BA/BS or combination of related education and work experience to equal to four years administrative support experience, which must include two years general office experience. Training/education may be substituted for some of the years of experience
    * Previous customer service experience is required.
    * Proficiency with computers and with the internet (including web based applications)
    * Experience with Microsoft Office applications (including Excel and PowerPoint), with advanced level abilities and efficiency in Word
    * Excellent verbal and written communication skills
    * Experience handling confidential material
    * Excellent interpersonal skills, with the ability to interact professionally with a wide range of
    people (e.g., prospective students, faculty, and staff; cultural and ethnic diversity)
    * Ability to prioritize and multi-task successfully in a complex, fast-paced environment that experiences peak and slow times
    * Ability to work both independently and as a team member
    * Exceptional organizational skills
