Job Summary

The Program Specialist position within the Institutional Development team provides high-level customer service and serves as a primary contact to students, donors, college personnel, scholarship reviewers, and community partners. The Program Specialist coordinates scholarships and emergency assistance programs by reviewing scholarship applications, determining award eligibility, awarding and distributing scholarships, and supporting compliance with Foundation policies, donor intent, and scholarship guidelines.

This Program Specialist position also coordinates donor stewardship activities by assisting scholarship review committees and distributing thank-you letters, assisting with the maintenance of the Maricopa Community Colleges Foundation scholarship management portal, assisting at scholarship-related events, assisting with donor-related initiatives, and coordinating special projects.

Essential Functions

35% - Scholarship Administration & Award Processing:

  • Coordinate the day-to-day administration of scholarship and emergency assistance programs, including reviewing applications, verifying eligibility requirements, maintaining scholarship records, processing awards, monitoring student eligibility, and supporting scholarship distribution activities. 

20% - Donor Stewardship & Program Coordination:

  • Coordinate donor stewardship and scholarship support activities, including assisting scholarship review committees, coordinating communications with donors, college representatives, and reviewers, managing student thank-you letters, assisting with donor recognition initiatives, and supporting scholarship-related events and projects.

20% - Customer Service & Stakeholder Support:

  • Provide customer service and program support by responding to inquiries from students, donors, college personnel, scholarship reviewers, and the public regarding scholarship opportunities, application processes, eligibility requirements, deadlines, and Foundation policies.

15% - Scholarship Systems, Records & Compliance:

  • Maintain scholarship management systems, program documentation, records, reports, and data integrity by updating scholarship information, assisting with user access, troubleshooting basic system issues, generating reports, reconciling scholarship information, and supporting compliance with donor intent, organizational policies, and established procedures.

10% - Other Duties as Assigned:

  • Perform other related duties, special projects, and administrative assignments in support of the Scholarship Program Manager and the Maricopa Community Colleges Foundation.
Minimum Qualifications

High School Diploma or GED and three (3) years of program support experience.

There is no substitution or equivalency allowable for the High School Diploma or GED.

Desired Qualifications
  • Associate's degree from a regionally accredited institution.
  • Three (3) or more years of progressively responsible program support, administrative support, or customer service experience.
  • Three (3) or more years of experience maintaining records, databases, files, or program documentation while ensuring accuracy and confidentiality.
  • Two (2) or more years of experience coordinating multiple projects, activities, schedules, or program deliverables while meeting established deadlines.
  • Two (2) or more years of experience providing customer service and responding to inquiries from internal and external stakeholders.
  • Two (2) or more years of experience utilizing Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, databases, or other office productivity software.
  • Experience in maintaining electronic records, generating reports, and performing data entry with a high degree of accuracy.
  • One year of relevant full-time MCCCD experience during the previous two years.
Special Working Conditions

* Positions in this class typically require: reaching, standing, walking, finger dexity, grasping, talking, hearing, seeing and repetitive motions.

* Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects including the human body.

* Work is routinely performed in an indoor, office environment.

* May be required to sit for a prolonged period of time; viewing a computer monitor.
