Job Description Summary

At The Source Hotel, great experiences are all in the details, and this role helps bring them to life. From unforgettable weddings and celebrations to inspired meetings and corporate gatherings, the Sales & Catering Coordinator brings together the people, planning, and personal touches that make every event special. Equal parts organizer, creative thinker, and relationship builder, this position also supports sales initiatives, brand storytelling, and the distinctive guest experience that sets The Source Hotel apart.

Essential Duties & Responsibilities

Event Coordination



  • Coordinates contracted group, meeting, wedding, and social event business from sales turnover through execution.
  • Prepares and maintains accurate event documentation, including Banquet Event Orders (BEOs), group resumes, menus, room diagrams, and event correspondence.
  • Manages assigned meeting and banquet space and coordinates event logistics, including room setups, food and beverage, audiovisual needs, timelines, vendors, and special requests.
  • Coordinates group room blocks, rooming lists, reservations, pickup monitoring, deposits, payment schedules, and billing details with appropriate hotel departments.
  • Communicates event details and changes to hotel departments, participates in operational meetings, and proactively resolves challenges to ensure successful event execution.
  • Provides onsite event support as needed and conducts post-event follow-up to gather feedback, resolve concerns, and identify repeat business opportunities.


Client Relations



  • Serves as the primary client liaison following contract execution, maintaining strong relationships and responding to guests questions.
  • Identifies opportunities to maximize guestroom, meeting space, and food and beverage revenue through upselling, enhancements, and additional services.
  • Maintains current knowledge of hotel facilities, services, rates, promotions, meeting space capabilities, and competitive offerings.
  • Escalates complex client concerns, contractual issues, pricing exceptions, and significant operational challenges to appropriate hotel leadership.


Administrative Support



  • Responds to incoming sales inquiries, qualifies opportunities, prepares proposals and contracts as assigned, and conducts walk-in tours and scheduled site inspections.
  • Supports sales prospecting, account research, lead generation, client follow-up, and rebooking efforts as directed by Sales leadership.
  • Maintains accurate client records and booking information, monitors critical deadlines, and prepares departmental sales, catering, pace, and production reports.
  • Provides administrative support, including telephone coverage, correspondence, meeting preparation, and assistance with departmental sales strategies and initiatives.


Sales Initiatives & Guest Relations



  • Manages The Source Hotel's LinkedIn account, including content planning, creation, scheduling, engagement, and performance monitoring to support brand visibility and business development.
  • Assists with sales and marketing collateral, promotional materials, client appreciation events, sales luncheons, and networking activities.
  • Coordinates VIP amenities, welcome gifts, and guest recognition items, including maintaining necessary supplies.


Professional Standards



  • Maintains professional, service-focused relationships with clients and colleagues; demonstrates strong organizational skills, complies with hotel policies and scheduling requirements, and performs additional duties as assigned.


Qualifications



  • Previous experience in hotel sales, catering, event planning, or hospitality preferred.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication and customer service skills.
  • Ability to work independently and collaboratively with multiple hotel departments.
  • Strong attention to detail and ability to manage competing deadlines.
  • Proficiency in Microsoft Office; experience with hotel sales, catering, CRM, or property management systems preferred.
  • Experience managing LinkedIn or other professional social media platforms, including content creation and engagement, preferred.
  • Ability to identify revenue opportunities and provide effective client solutions.


Flexibility to work occasional evenings, weekends, and holidays based on business needs.
